Privacy Policy

If you request a consultation on our website: your name, phone number, email address, the service you're asking about, and any comments you add.

If you create a client portal account: your business's name, industry, address, EIN, and entity type; your name, email, and a securely hashed password (we never store your password in plain text); and the financial and accounting information you or your bookkeeper enter, including your chart of accounts, transactions, bank and credit card data you add, vendor/customer contacts, and tax filing details. If OliRam staff upload a document to your account (a tax return, K-1, or similar), that file and its metadata are stored against your account too.

We use this information to provide the accounting and bookkeeping services you've asked for, to run your client portal, and to follow up on consultation requests.

We use Google Analytics to understand how visitors use this website. Google receives standard analytics data (pages visited, general location, device type) as described in Google's own privacy policy.

Our website and client portal run on third-party hosting and database infrastructure, which processes this data on our behalf solely to operate the app. It is not sold or used by those providers for their own purposes.

We do not sell your personal information.

We use artificial intelligence and machine-learning tools, including third-party AI/LLM services, as part of how we build and operate this website and client portal, and as part of how our team reviews and works with the accounting and financial data you submit. That means information you enter (including financial, business, and personal data) may at some point be processed by an AI system, whether run by us or by a third-party provider we work with.

Any AI provider we use is contractually and technically restricted to processing your data solely to help deliver our services to you, not to train their own general-purpose models on your data, and not to sell or otherwise use it for unrelated purposes. If this changes in a way that materially affects how your information is used, we'll update this policy and, where required, notify you directly.

The client portal and admin systems use a small session cookie to keep you signed in. It's required for the portal to work and isn't used for advertising or cross-site tracking. Google Analytics sets its own cookies as described above.

We keep your information for as long as your account is active. Financial and accounting records may be retained for a period after an account is closed to meet bookkeeping and tax record-keeping practices. If that applies to a deletion request you make, we'll tell you before completing it.

You can ask us to access, correct, or delete the personal information we hold about you (including under GDPR and CCPA, where they apply). If you have a client portal account, go to Settings → Danger Zone → Request Account Deletion, or email us using the address below. We'll review the request and, once any retention obligations are cleared, permanently delete your account, its financial records, and any uploaded files.
